A simple agenda for your next community meeting

Keep the first agenda small
Choose the decisions that actually need everyone in the room. Share background documents beforehand, and give each agenda item a person responsible for introducing it. Everything else goes in the group chat or the next meeting.
Copy this 30-minute agenda
Adjust the timings to fit your group. The aim is to leave with clear decisions and owners.
- 5 minutes. Welcome, attendance, and the purpose of the meeting.
- 5 minutes. Follow-ups from last time: what was done, what is still open.
- 15 minutes. The one or two decisions on the agenda. Each has an owner who introduces it, a short discussion, and a vote if needed.
- 5 minutes. Next steps: who does what, by when, and the date of the next meeting.
Record the decisions where people will find them
Put the agenda on the meeting in Nyocte before you start, take attendance as people arrive, and record minutes as you go. Each decision becomes a line in the minutes; each action becomes a task with an owner and a due date. Members who missed the meeting can read the record instead of asking in the chat.
Vote when it matters
Use a vote for anything that changes the rules, the money, or the membership: a new fee, a change to the constitution, a new committee member. Set a deadline and a quorum, and let members who cannot attend vote in the app. The result stays attached to the meeting.
Follow up before the next meeting
A week before the next meeting, check the open tasks and remind owners. Post a short update in the group so the next meeting starts from what happened, not from what people remember.

How long should a community meeting be?
Thirty to forty-five minutes is enough for most associations if the agenda has three or fewer decisions and background documents were shared beforehand.
Who should take minutes?
