Run a committee meeting online with votes and minutes

A working method for executive committees and boards: circulate the agenda, count the quorum, vote motions with a deadline, and leave with minutes and owners.

Circulate the agenda by scheduling the meeting

Create the meeting in the committee's group with the date, time, and each agenda item written as a decision: "Approve the budget for the fundraiser", "Appoint the audit sub-committee". Attach the documents. Members see the agenda immediately and can read before the meeting, which is what turns a two-hour meeting into a forty-minute one.

Start by counting the room

As members join from a browser or the app, attendance is recorded. At the start, compare the count to your quorum and note it in the minutes. Admit guests, such as an auditor or a contractor, from the waiting room for the item that concerns them.

Take each item to a decision

For each item: the owner presents in two minutes, the committee discusses, the chair states the motion. Open the vote on the meeting with the motion text and a quorum. Members present vote at once. If a member has stepped out, set a deadline so they can vote afterwards. The result is recorded with the count.

Write the minutes on the meeting

The secretary records, on the meeting itself, the decisions, the vote results, and the actions. Each action is a task with an owner and a due date. Members who missed the meeting read the minutes and watch the recording, and the tasks appear in their list.

Close with the next meeting scheduled

Before ending, schedule the next meeting and note which tasks will be reported on. The next agenda starts from the open tasks, so nothing agreed in this meeting is forgotten by the next one.

Common questions

How many items should a committee meeting have?

Three to five decisions. Anything that is only information goes in the group before the meeting, not on the agenda.

What if a member has to leave before a vote?

Open the vote with a deadline after the meeting. The member votes from the app before it closes, and the minutes record the final count.

Can the secretary write the minutes after the meeting?

Yes, but the sooner the better. Minutes written on the meeting the same day are rarely disputed.
