Why groups outgrow a chat

A WhatsApp group is where community life happens, and it is also where the record disappears. Who paid in March? What did we decide about the fee? Where is the constitution? The answer scrolls away under a thousand greetings. Nothing is wrong with the chat; it was never built to be the record.

Do not announce a migration. Announce a record.

People resist "we are moving to a new app". They accept "the contribution record is now in Nyocte; open it to see your statement". Start with the one thing the group is missing, usually the money or the minutes, and put only that in Nyocte first.

The four-week plan

  1. Week one: the officials. The chair, treasurer, and secretary create the group, set roles, and enter last month's records. They keep using WhatsApp for chat.
  2. Week two: the record. Post in WhatsApp: "Your March statement is in Nyocte. Join with this link to see it." Members join to look at their own record. Nobody has to change how they chat.
  3. Week three: the meeting. Put the next agenda and the minutes in Nyocte. Post a one-line summary in WhatsApp with a link to the full record.
  4. Week four: the decision. Run the next vote in Nyocte. Members who missed the meeting can vote from their phone. The result is on record.

By then, the record is in Nyocte and most members are too. The chat follows, because the conversation happens where the decisions are.

Keep the door open

Some members will stay in WhatsApp for months. That is fine. Keep posting the summary and the link. Every statement, every agenda, every result is one more reason to open Nyocte.

What you gain that a chat cannot give

  • A contribution record members can check themselves.
  • Minutes and decisions that do not scroll away.
  • Votes with quorum for the things that matter.
  • Roles, so the treasurer's record is the treasurer's.
  • End-to-end encrypted conversations, with the group's data belonging to the group.

Do we have to leave WhatsApp?

No. Many groups keep WhatsApp for casual chat and use Nyocte for the record: contributions, meetings, minutes, votes, and documents. Over time the conversation follows the record.

What about members who are not comfortable with new apps?

Pair them with a member who is. Nyocte's app is available in their language, and the first thing they see is a familiar chat.
